A practical overflow workflow for contractors and estimators

General contractors, trade subcontractors and estimating companies can request help on a specific takeoff package or during periods of higher bidding activity. Takeoff Foundry is based in Pakistan and provides remote estimating support for US and Canadian projects; acceptance depends on confirmed scope and available resources.

Defined scope first

Identify the CSI trade divisions, drawing set, required units, measurement conventions, alternatives and whether the output is quantity-only or a priced estimate.

Files your team can review

Agree up front on spreadsheets, quantity registers, drawing markups, source references and bid-summary format. Questions and deviations belong in an explicit assumptions log.

Review responsibilities

Your team retains final responsibility for supplier quotations, scope interpretation, bid decisions and approvals. Any separate estimator QA or second review is a scoped deliverable, not an assumed guarantee.

How an overflow engagement works

01

Send requirements

Share scope, drawings, due date, trade priorities, delivery template and an authorized contact.

02

Agree the engagement

Confirm capacity, schedule, document handling, exclusions, revision cutoff and the price of the estimating service.

03

Prepare the takeoff

Measure the agreed items, flag missing information and produce a schedule aligned with the chosen review format.

04

Deliver for review

Review with the requester, resolve included clarifications and hand over the agreed editable files and marked references.

Typical ways to use an estimating partner

Bid overflow

Assign selected trade packages while your in-house estimators focus on bid strategy and supplier coordination.

Subcontractor quantity takeoffs

Prepare trade-specific quantities for materials, finish items and accessories as requested by a specialist subcontractor.

Consistent workbook format

Use an agreed template for units, quantities, assumptions, allowances and revision tracking.

Reviewable examples

Assess report structure with our illustrative residential and commercial sample packages before sending confidential client drawings. Review our flooring takeoffs and commercial estimating scope pages.

Outsourcing questions

Do you offer a permanent estimating team?

We evaluate each request and available delivery capability before agreeing to work. Ongoing or recurring support terms would need a separate agreement.

Can you agree confidentiality terms?

Include your document-handling and NDA requirements in the initial inquiry. Any obligation must be accepted in writing before confidential project information is shared.

Will the estimate include current local market rates?

Not automatically. Cost estimates require an agreed rate source, pricing region, currency and dated basis. A quantity takeoff does not imply verified supplier pricing.

Do you guarantee bid wins or same-day delivery?

No. Bid outcomes depend on many factors outside the takeoff, and deadlines are confirmed only after scope and capacity review.

Tell us which drawings you need estimated.

Define your scope, location, target date and preferred takeoff format.
